HR & Admin Manager

The HR & Admin Manager is in charge of accomplishing the day – to – day HR and Admin support operations of Company which includes the following functional areas – recruitment, selection, and retention of employees, employee and labor relations, timekeeping administration – with the end goal of providing an employee – oriented, high performance culture and the ongoing recruitment and retention of a superior workforce.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Managerial
  • Providing guidance to direct reports, typically comprising first-line managers and supervisors
  • Ensuring clarity around priorities and goals for the entire functional area
  • Approving requests for investment to a certain level of authority
  • Managing overall financial budgeting for his/her function
  • Approving hiring and firing requests within his/her group
  • Guiding the talent identification and development processes for a group or function
  • Working across functions with peers in other groups to ensure collaboration for shared goals
  • Interacting with senior management for reporting
  • Communicating financial and goal results and key performance indicators to direct reports
  • Facilitating goal-level creation for the broader function and working with managers to ensure the goals cascade to all workers
  • Recruitment, Placement, Selection, Employee Movements, and Documentation

Interviews job applicants, reviews applications, administers entry exams (on officers/managers), conducts interviews, and makes recommendations regarding applicants’ qualifications.
Provides information and assistance to employees and applicants with respect to all aspects of the job search process.
Ensures that documentation relating to appointments including job offer and rejection letters are prepared.
Ensures that new hire paperwork are completed for payroll and benefits requirements and is received on time to meet payroll deadlines.
Receives, reviews, and processes all relevant employee data documentation pertaining to hiring, termination, employee status changes, personnel actions, and compensation, verifying for completeness, accuracy, and compliance with established policy and procedural requirements.
Analyzes specific employee data and generates periodic and/or ad hoc summary reports, as appropriate; may conduct special projects requiring the gathering and processing of information and the preparation of statistical summaries and/or written reports.

Payroll

  • Manages the processing of Employee Payroll and timely government remittances
  • Training and Organizational Development
  • Supervises and conducts trainings (based on Training Needs Analysis)
  • · Supervises and conducts New Employee Orientation to New Hires
  • · Coordinates with the Management in the implementation of Employee Engagement Programs spearheaded by HR
  • · Assists the Management in organizational change projects to improve the overall efficiency and effectiveness of the corporation.
  • · Facilitates the Performance Management System of the corporation.
  • · Supervises and organizes company events

Employee Relations, Labor Relations, and Policies

  • Supervises and provides individual or group advice, guidance, and professional support to department heads and managers with respect to the interpretation and application of employee relations and associated policies, practices, and procedures
  • Participates as appropriate in governmental hearings or investigations including DOLE and NLRC investigations, assists in the preparation of legal cases and conducts associate investigations as required.
  • Provides direct liaison and assistance as appropriate in the resolution of individual workplace disputes.
  • Review and advises as appropriate on employee suspensions and separations to ensure compliance with labor laws, policies, procedures, and acceptable management practices.
  • Develops and maintains employee relations databases and tracking systems; collects and analyzes employee relations data and prepares periodic and ad hoc reports.
  • Investigates and coordinates resolution of day – to – day administrative issues and concerns.
  • Assists Management in the development of personnel policies and procedures to ensure that the company follows best practices and avoids infringing employment laws.
  • Provides information and routine guidance to employees regarding the interpretation and application of a comprehensive range of human resources policies and procedures, refers questions or concerns requiring policy interpretation to the Management, if necessary.
  • Performs specific duties that may be assigned by the immediate superior from time to time

Admin

  • Manages all administrative duties needed by the organization
  • Performs specific duties that may be assigned by the immediate superior from time to time 
  • Reports and Records Management
  • Submits monthly report on end-of-week and month output (progress report) or if requested.
  • Ensures accuracy of reports

EDUCATION and/or EXPERIENCE

  • Proven work experience as a Senior Manager or similar role
  • Hands-on experience with Sales System Software or any related software
  • Solid understanding of the business processes and procedures
  • Excellent communication and leadership skills
  • Ability to foster healthy working environment
  • Graduate studies or further education is a plus
  • Candidate must possess at least Bachelor’s/College Degree in Psychology, Human Resource Development, or any related field.
  • At least 5+ Year(s) of working experience in the related field is required for this position.
  • Ability to work autonomously and effectively
  • Good interpersonal and communication skills, both written and verbal
  • Strong computer skills, proficient in MS Office programs
  • Good time-management skills with the ability to handle various tasks simultaneously
  • Excellent problem-solving skills;
